Top 10 Questions to Ask Before Booking Live Entertainment for Your Wedding or Event

This is probably the question we help people with the most. The funny thing is, most people don’t actually know exactly what entertainment they want when they first get in touch – and that’s completely normal. Most of our clients aren’t event professionals. They might be planning their first wedding, their company’s annual awards night, or a milestone celebration they’ve spent years looking forward to.

The best place to start isn’t with the band name, it’s with the feeling you want your guests to have.

Do you want something elegant and relaxed while people enjoy drinks and conversation?
Do you want a band that gets everyone singing along?
Do you want a high-energy party where the dance floor is packed until the final song?

Once we understand your venue, your guests, and the atmosphere you’re hoping to create, we can recommend entertainment that actually fits.

Sometimes that’s a solo acoustic musician.
Sometimes it’s a string quartet.
Sometimes it’s a sax player roaming through the crowd.
Sometimes it’s a full party band that brings the entire room to life.

Our job isn’t to sell you the biggest act – it’s to help you find the right one.

This is one of the biggest decisions people make when planning an event.

The honest answer?

It depends on the experience you’re trying to create. A DJ is incredible for flexibility. They can play thousands of songs, move between genres quickly, and adapt instantly to different crowds.

A live band brings something completely different. There is an energy that happens when guests see musicians performing live, interacting with the crowd, and creating those moments where everyone is singing along together.

For many of our clients, the perfect solution is actually combining both.

A live band can provide the unforgettable performance moments, while a DJ keeps the music flowing before, between, and after the band.

The right choice comes down to your vision, your venue, and the atmosphere you want to create.

This is one of the first questions most people ask, and it’s completely understandable. The challenge is that live entertainment isn’t really a “one price fits all” service. The cost can depend on things like:

  • Number of musicians.
  • Performance length.
  • Location and travel requirements.
  • Equipment requirements.
  • Whether you need sound and lighting.
  • The experience level and popularity of the act.

A solo acoustic musician and a seven-piece party band are both amazing options, but they create very different experiences. Rather than trying to squeeze every event into a standard package, we prefer to understand what you’re planning first and recommend options that make sense for your event and budget.

Our goal is always to provide the best value – not simply the cheapest option.

Most live performances are structured around creating the best possible experience rather than simply playing for as long as possible. A common format is:

  • Background music while guests arrive.
  • Live music during drinks or dinner.
  • One or more energetic live sets later in the evening.
  • DJ style playlists/music between sets or afterwards.

Most bands perform around 2-3 hours of live music across the event, with short breaks for vocal rests etc, but this can be customised depending on your plans. The important thing is pacing. A great event has highs and lows. It’s about building anticipation, creating memorable moments and finishing with everyone wanting more.

In many cases, absolutely.

Some of our favourite moments over the years have come from personal requests. We’ve had couples ask us to perform songs that have special meaning to them, family favourites, first dances, and even songs that weren’t originally written for live performance.

If there’s a song that’s important to you, let us know early. We’ll always discuss what’s possible with the musicians and do everything we can to make those moments happen.

Those personal touches are often what guests remember most.

This is a great question – and one people often don’t think about until they’re planning the timeline.

The last thing anyone wants is for the energy to drop when the band steps off stage. That’s why we carefully plan around live sets.

Depending on your package, we can provide DJ music between sets ensuring there is always music playing and the atmosphere continues throughout the night. We can also plan these with you to work in some song requests you want to hear that perhaps the band cant play, this way you get the best of both worlds!

Most guests won’t even notice the transition – they’ll simply keep enjoying themselves.

Yes, and this is one of the things we love helping clients create.

A great event isn’t just about one moment – it’s about the entire journey. Many of our entertainers can perform in different formats throughout the day. For example:

  • A solo musician while guests arrive.
  • Acoustic music during a ceremony.
  • A string quartet during cocktails.
  • Live music during dinner.
  • A saxophonist adding energy to the dance floor.
  • A full band performance later in the evening.

Creating a complete entertainment experience through one trusted team makes planning much easier.

Absolutely.

One thing we’ve learned from years of events is that great entertainment relies on great production. The best band in the world won’t sound its best if the audio isn’t right for the room.

We can provide professional sound systems, microphones, lighting, and production support tailored to your venue and event. Most of our musicians & bands can be self sufficient for smaller events up to 100-150 guests, but when things get larger this means bigger sound and lighting is required. Our sister brand Crown Events provides all of our AV and can step in to take care of all of this for you.

This also means fewer suppliers to coordinate and one team responsible for making sure everything works together.

This is probably one of the most important questions to ask.

When you’re booking entertainment for a wedding or major event, you’re not just booking musicians. You’re trusting someone with a very important moment. Things we recommend asking any entertainment provider:

How many events do you perform each year?
Do you have backup plans?
Have you performed at similar events?
Who will be my point of contact?
What happens if a performer becomes unavailable?

At Better Band, we have a full team behind every booking. Our performers are carefully selected, professionally managed, and supported by our office team before, during, and after events.

We believe reliability is just as important as talent.

We know there are many talented musicians out there. What makes Better Band different is that we combine incredible performers with the support and experience needed to make events run smoothly.

Every year, our team helps deliver thousands of memorable moments across weddings, corporate events, and private celebrations throughout New Zealand.

From solo musicians and string quartets through to premium party bands, famous New Zealand artists, and high-impact performances, we connect clients with entertainment that genuinely fits their event.

But we’re not just here to send you a list of acts. We’re here to help you make the right decision. We’ll listen to what you’re trying to create, guide you through the options, and handle the details behind the scenes.

Because when the music starts and your guests are smiling, dancing, and talking about the night for years afterwards, that’s when we know we’ve done our job.
